Which data we use and what for
When you ask for a quote
Via the form, WhatsApp, phone or email. We use your name, phone number, postcode, the description of your job, the photos you send and anything else you tell us. With this we assess your job, give you a price estimate and make an appointment. We do this because you ask us to, before there is a contract (Article 6(1)(b) GDPR).
When you use the chat assistant
The chat on our website helps you describe your question, answers questions about our services and gives a price estimate. Your messages and the photos you add go via our own server to Anthropic, the provider of the AI model that writes the answers, and are only used to answer your question. In the chat we only ask for what is needed for your request: what is going on, a photo if possible, the town or postcode and, if you wish, your name and phone number. Do not share sensitive information in the chat. We store photos on our own server and delete them after 30 days; we remove location data from a photo when it is uploaded. If you send your request via WhatsApp or ask us to call you back, we receive the summary, your photos and a copy of the conversation by email, so that your request does not get lost. We do this because you ask us to (Article 6(1)(b) GDPR).
When we carry out a job for you
We also use your address, your email address if you give it, the arrangements about the work and your invoice and payment details. We need these to carry out the work, invoice it and provide a guarantee (performance of the contract). The law requires us to keep our accounts (legal obligation).
Photos of our work
We sometimes take photos of our work for our website, our Google Business Profile and social media. They show no recognisable people and no address; we do mention the town. If you do not want us to use photos of the work at your home, just tell us and we will not.
Reviews
On our website we show reviews that customers have posted on Werkspot, with the name and town as they appear publicly there. If your review is on our site and you do not want it to be, let us know and we will remove it. Werkspot is responsible for data on the Werkspot platform itself.
When you visit our website
Our hosting provider keeps technical data, such as your IP address and the time of your visit, to keep the website secure and working properly (legitimate interest).
How long we keep your data
- Requests that do not lead to a job, with the photos you sent: 12 months after your request.
- Customer data we need for the guarantee: until the guarantee has expired.
- Invoices and the related accounts: 7 years, because the law (the tax retention obligation) requires it.
Who we share your data with
We never sell your data. We only share it with parties that help us do our work, and only as far as necessary:
- Hostinger, for hosting our website and the quote form.
- WhatsApp (Meta), if you contact us via WhatsApp
- Google, for website statistics (Google Analytics, only with your consent) and maps (Google Maps, only if you load a map)
- the Dutch Tax and Customs Administration (Belastingdienst) and other authorities, if the law requires us to
We make agreements on security and confidentiality with parties that process data for us. Some of these parties, such as WhatsApp, may also process data outside the European Union. They do so with the safeguards required by law.
Cookies and maps
Our website uses technical cookies that are needed to make the website work, for example to remember your cookie choice.
With Google Analytics we measure how visitors use our website, so that we can improve it. We only place these statistics cookies if you give your consent in the cookie banner (Article 6(1)(a) GDPR). Without your consent, Google Analytics places no cookies; Google then only receives limited data without cookies (Google Consent Mode). You can change your choice at any time via ‘Manage consent’. You can read more about this in our cookie policy.
A few pages show a Google Maps map. We only load that map when you click ‘Load map’ on it. Only then does Google receive data, such as your IP address, and can Google place cookies.
Security
Our website uses a secure connection (https). Only the people in our company who handle your request or job can see your data.
Your rights
You may ask us what data we hold about you, and have it corrected or deleted. You can also object to the use of your data, have its use restricted, or request your data so you can pass it on to someone else. Send your request to info@klusbedrijfmsz.nl or call 06 19 74 36 78. We respond within one month. We cannot delete data that we are required by law to keep, such as invoices, any sooner.
Not happy with how we handle your data? Let us know first, and we will look for a solution together. You can also file a complaint with the Autoriteit Persoonsgegevens, the Dutch Data Protection Authority.
Changes
We may update this privacy policy, for example if our work or the law changes. At the top you can see when the policy was last updated.
